Job Opening – Accounting Assistant
Location: Portugal Employment Type: Full-time ( flexible) , On-site position
We are seeking an Intermediate Accounting Assistant to support the company’s accounting, financial and administrative operations, ensuring compliance with Portuguese accounting, tax and labour legislation, and acting as the main liaison with external service providers.
Key Responsibilities
External Accounting Liaison
Act as the main point of contact between the company and the external accounting firm
Collect, organise, validate and submit financial, accounting and tax documentation within statutory deadlines
Provide clarifications regarding company operations and transactions
Review trial balances, financial reports and monthly closings prepared by the external accountant
Identify and report inconsistencies or discrepancies
Financial Management & Payments
Manage and execute all company payments (suppliers, services, taxes, social security contributions, salaries, insurance, etc.)
Ensure compliance with legal and contractual payment deadlines
Maintain accurate payment records and support cash flow monitoring
Invoicing
Calculate amounts to be invoiced according to contracts and services rendered
Issue invoices, credit notes and related documents in compliance with the Portuguese VAT Code
Ensure correct delivery and legal archiving of invoicing documentation
Insurance & Legal Compliance
Ensure the existence, validity and renewal of all legally required insurance policies, including Workers’ Compensation Insurance (Seguro de Acidentes de Trabalho)
Liaise with insurance companies and brokers and manage related documentation
Health & Safety at Work (SST)
Act as liaison with the external Occupational Health and Safety provider
Coordinate mandatory medical examinations (admission, periodic and occasional)
Monitor mandatory training and risk assessments
Maintain legally required documentation in accordance with ACT requirements
Labour & HR Administration
Prepare employment contracts and amendments in accordance with the Portuguese Labour Code
Support onboarding, contract changes and termination processes
Ensure timely submission of labour-related information to the external accountant, Social Security and other authorities
Additional Duties
Organise and maintain physical and digital administrative, financial and legal records in line with statutory retention periods
Support audits, inspections and controls by Tax Authorities, Social Security and ACT
Contribute to continuous improvement of internal administrative and compliance processes
Desired Profile
Degree or studies in Accounting, Finance, Management or a related field
Solid knowledge of Portuguese taxation, accounting principles and labour legislation
Proficiency in Excel, ERP systems and certified invoicing software
Strong organisational skills, attention to detail and sense of responsibility
Good communication skills and ability to work independently
Fluency in English (spoken and written) is mandatory
